How does your transcription service work?

Transcription Outsourcing LLC’s step-by-step process is:

Step 1:  Submission 
Dictations can be recorded on a digital voice recorder, through our toll-free phone number, or through our free iPhone app, and are then uploaded via the internet onto our secured FTP server. Files can also be mailed to us or dropped off at our office (please call 720-287-3710 to coordinate drop-off.)

Step 2:  Transcription 
Your audio files are assigned to a transcriptionist dedicated to handle specific accounts. The files are transcribed and put into any customized template that you require, or put onto our standard template. We support many different file format types, for instance Word and Excel.

Step 3:  Quality Assurance 
Our Quality Assurance Editors proofread the transcribed report. This enables us to maintain an accuracy level of 99 percent and above at all times.

Step 4:  Delivery of Reports 
Completed reports are either uploaded back onto our platform or emailed directly back to you for quick access, review and printing.

Step 5:  Archival 
We have in place a self-reliant, fault-tolerant archival and retrieval system for better data/audio management and care. Data and audio files are archived indefinitely or according to your specific needs.

How does the free trial period work?

Transcription Outsourcing LLC’s no-risk free trial allows up to 1,000 free lines or 60 free audio minutes for new customers. There are no requirements to continue service if you are not satisfied with your trial. During this trial period, we will provide you with full transcription services, which include: creation/use of your template(s), unlimited user accounts, and full customer service support. We are very confident that at the end of this trial, you will choose to continue our industry-leading services.

How much do your services cost?

How are the dictations submitted?

Dictations may be submitted by using our toll-free phone number, our free iPhone app or by uploading your digital audio or video files to our secure online platform. We also accept files by mail or dropped off at our office – please call to coordinate delivery.

What if I have a document that needs typed, not an audio file?

We do offer document-to-document transcription services. Documents that need processed can be dropped off, mailed, scanned and emailed, or faxed. We will return your original document once finished.

How is the dictation processed?

As soon as we receive your audio files, our transcriptionists will complete the file using any provided templates and samples. The transcript is then edited for quality by one to two experienced editors, then uploaded for your retrieval or emailed back to you. A hard copy can also be mailed back upon request.

How do I retrieve my dictations?

Retrieving your dictations is simple! You can opt to either use Transcription Outsourcing LLC’s Word-based online platform, our secure file-sharing system or email. Contact our office at 720-287-3710 to see which option works best for you.

Can I choose when I get my transcriptions back?

Of course! We value quick turnaround time and accommodating all turnaround time requests, including stat or rush requests for your important files. In general, we offer a variety of turn-around-time (TAT) options – four hour, 12 hour, 24 hour, three day, five day, etc.

How secure are my transcriptions?

Through our secure software and transmission protocols, all interactions between your computer and our system are highly secure and protected by our secure FTP and 128 SSL File Encryption security systems. Our security protocol also includes network redundancy, VPN implementation and a secure firewall. We are fully HIPAA/HITECH compliant and work with many governmental agencies, so we are very familiar with maintaining security standards.
