What is financial transcription?

Many business or financial professionals choose to dictate their notes, memos and more instead of typing or handwriting – it’s quicker and easier. Many businesses also record important conversations – meetings, earnings calls, seminars, etc. Transcription takes those recordings and types them into a hard copy, usually in Word or Excel. This document can then be easily read, edited and shared.

 

How does your transcription service work?

Transcription Outsourcing LLC’s step-by-step transcription process for our financial transcription services is:

Step 1:  Submission 
Dictations can be recorded on a digital voice recorder, through our toll-free phone number, or through our free iPhone app, and are then uploaded via the internet onto our secured FTP server. Files can also be mailed to us or dropped off at our office (please call 720-287-3710 to coordinate drop-off.)

Step 2:  Transcription 
Your audio files are assigned to one of our experience financial transcription specialists. The files are transcribed and put into any customized template that is you require, or put onto our standard template. We support many different file format types, for instance Word and Excel.

Step 3:  Quality Assurance 
Our Quality Assurance Editors proofread the transcribed report. This enables us to maintain an accuracy level of 99 percent and above at all times.

Step 4:  Delivery of Reports 
Completed reports are either uploaded back onto our platform or emailed directly back to you for quick access, review and printing.

Step 5:  Archival 
We have in place redundant backups in our archive system for better data/audio management . Data and audio files are archived or deleted according to your specific needs.

How does the  free trial period work?

All new clients will receive a no-risk  free trial period of our services. There are no requirements to continue service if you are not satisfied with your trial. During this trial period, we will provide you with full transcription services, which include: online platform/database access, creation/use of your template(s), unlimited user accounts, and a dedicated account management specialist. We are confident that at the end of this trial, you will choose to continue our services.

How much do your services cost?

How are the dictations submitted?

Audio or document files can be submitted using our toll-free phone number, a digital recorder, our free iPhone app, or by email, fax, mail, or dropping hard copies of files off at our office.

How is the dictation processed?

As soon as we receive your files, our transcriptionists will process using any provided templates and samples. The transcript is then edited for quality by one to two experienced editors, then uploaded for your retrieval or emailed back to you.

How do I retrieve my dictations?

Retrieving your dictations is simple! You can opt to either use Transcription Outsourcing LLC’s Microsoft-based online platform, email, or our email-based secure file-sharing system.

Can I choose when I get my transcriptions back?

Of course! We value quick turnaround time and accommodating all turnaround time requests, including stat or rush requests for your important files. In general, we offer a variety of turnaround time (TAT) options – four hour, 12 hour, 24 hour, three day, five day, etc.

How secure are my transcriptions?

Through our secure software and transmission protocols, all interactions between your computer and our system are highly secure and protected by our secure FTP and 128 SSL File Encryption security systems. Our security protocol also includes network redundancy, VPN implementation and a secure firewall. We are fully HIPAA/HITECH compliant and work with many governmental agencies, so we are very familiar with maintaining security standards.
